Best Practices

Learn how to get accurate transcriptions and maximize your productivity with Syncpoly.

Audio Quality Best Practices

High-quality audio produces the best transcription results. Follow these guidelines:

  • Clear Audio: Use high-quality recording equipment when possible. Clear audio with minimal background noise produces the most accurate results.
  • Minimize Background Noise: Record in quiet environments when possible. Excessive background noise can reduce accuracy.
  • Appropriate Volume: Ensure audio levels are adequate. Very quiet or very loud audio can be difficult to transcribe accurately.
  • File Format: Use high-quality formats (WAV for audio, high bitrate MP3) when possible. Heavily compressed files may reduce accuracy.
  • Speaker Clarity: Encourage clear pronunciation and appropriate speaking pace. Very fast speech may require review.

File Organization

Organize your files effectively to maximize productivity:

  • Descriptive Filenames: Use clear, descriptive filenames that help you identify content quickly.
  • Regular Review: Periodically review and organize your transcripts. Delete old or unnecessary files to free up storage.
  • Use Search: Take advantage of search functionality to quickly find specific transcripts or content.
  • Download Important Files: Download transcripts you need to keep long-term in your preferred format.

Workflow Optimization

Optimize your workflow for maximum efficiency:

  • Batch Processing: Upload multiple files at once when possible. You can track all uploads in the header indicator.
  • Use AI Features: Take advantage of AI chat, breakdowns, and question generation to extract maximum value from your transcripts.
  • Plan Ahead: For time-sensitive projects, upload files early to account for processing time.
  • Review Regularly: Check your usage in Settings to ensure you're within your plan limits.

Improving Accuracy

Follow these tips to improve transcription accuracy:

  • Review Transcripts: Always review transcripts for accuracy, especially for important content. AI transcription is highly accurate but may need minor corrections.
  • Technical Terms: Be aware that specialized jargon or technical terms may be transcribed phonetically. Review and correct as needed.
  • Multiple Speakers: When multiple speakers are present, review speaker identification for accuracy.
  • Context Matters: Use AI chat to clarify ambiguous sections or get explanations of complex topics.
